Equipment planning includes the route into the venue and the services available at the operating position. Reviewing these details early helps the rental team discuss a workable setup for your event or temporary workspace.
Walk the delivery route
Check the route from the unloading area to the proposed equipment position. Note steps, doorways, lifts, tight corners and changes in ground level. Share any loading-bay restrictions or limits on delivery times.
Tell the team about surfaces such as grass, loose ground or unfinished floors. Equipment dimensions and handling arrangements matter when access is restricted. Photographs of the route help the team understand what is involved.
Agree where the equipment will operate
Mark proposed positions on a simple layout, along with seating, workstations, doors and pedestrian routes. Include areas that must remain clear for venue operations and emergency access.
The position should suit the cooling method. Evaporative coolers need fresh airflow and an exit path for air. Portable or industrial air conditioners require a suitable arrangement for transferring heat away from the area being cooled.
Ask the venue about electrical supply
Provide information about the available supply, connection locations and any venue requirements. Different equipment has different voltage, power and connection needs. Confirm the requirements for the actual models proposed in the quotation.
Have the venue’s authorised electrical representative or a qualified electrician confirm supply suitability and connection arrangements. Share the details with the rental team. Avoid assuming that an available socket is suitable for every unit or equipment combination.
Discuss cables and supporting items
Review the route between the supply and each operating position. Mention pedestrian crossings, vehicle routes and outdoor areas. Cable routing and protection should form part of the setup discussion.
Kpacific’s supporting rental lineup includes items such as DB boxes, cables and cable ramps. Ask which items are required and included for your application. Additional equipment and connection work should be confirmed in the agreed scope.
Check water and operating arrangements
For evaporative cooling equipment, discuss water supply, tank management and the model’s operating instructions. For other equipment, ask about the relevant exhaust, drainage or collection requirements.
Confirm who will provide site access, show the team the equipment positions and coordinate with the venue. Record delivery and collection times and any arrangements that need to be completed before the equipment arrives.
Send Kpacific your venue layout, photographs, rental dates and available power information. The team can then discuss equipment and the supporting setup.
